Put the proposed last day in writing
Address the letter to the appropriate manager or HR contact. State that you are resigning, identify the proposed last working date and ask for acknowledgment. Keep the sent email or a received copy of the letter.
People often call this "30 days rendering." The statutory wording is one month in advance. Confirm the dates in writing, particularly where the contract contains a notice clause or you are asking to leave earlier.
A short resignation letter example
Adapt the dates and role to your situation
Please accept this letter as notice of my resignation from my position as accounts assistant. My proposed last working day is 30 November 2026. Please confirm the final date and the handover arrangements. I will prepare a list of open tasks and return company property through the designated clearance process. Please also advise how to request my certificate of employment and final-pay statement.
This example assumes the notice is delivered sufficiently in advance. Sending it later does not create a compliant notice period simply because the date appears in the letter.
When can resignation take effect immediately?
Article 300, formerly Article 285, lists grounds including serious insult, inhuman and unbearable treatment, and a crime by the employer or representative against the employee or an immediate family member, along with analogous causes.
Whether a particular incident meets a ground depends on the facts. Preserve evidence and seek advice about an immediate departure when relying on a legal ground. If you simply need an earlier exit date, ask the employer to agree to the shorter notice in writing.
Make the handover specific
Do not include passwords or client personal data in an unsecured handover email. Use the employer's approved access-transfer process.
- List unfinished tasks, their status and the colleague receiving each one.
- Return equipment through the employer's process and keep the receipt.
- Confirm where HR should send documents after your company account closes.
- Request an itemized final-pay computation and a COE separately.
What money remains payable?
Check unpaid salary, prorated 13th-month pay and any convertible leave or other earned benefit. Ordinary voluntary resignation generally does not carry statutory separation pay, though a policy or agreement can provide it.
If someone asks you to sign a quitclaim, read the listed amounts and settlement terms before signing. A disputed dismissal, bond or damages demand cannot be resolved by a generic resignation template.
